Office Manager

We are seeking an experienced Office Manager, who wants to stop the long commutes, and work locally, and shorten the working week, whilst still offering full commitment, in a role that they can bring all of their talents and energy to, working 3 full days a week in the office and 4 hours a week at home.

Salary: £28,600 pa

This is a great role for an exceptionally organized and experienced person to work with an established charity. We are looking for someone to be an integral part of our team, who will be able to coordinate all aspects of running our office day to day, managing, supporting and developing our full and part time staff with regular meetings and 1-1 reviews, combined with excellent communication skills, sound administrative and IT knowledge and a fabulous and flexible personality as well!

Friday – 10.00 – 14.00 – Home Working

Job Description – Office Manager

Responsibilities:

Line Management:

  • Line manage Administration staff, Fundraiser / Event-Co-ordinator, Principal Dream Co-Ordinator, Bookkeeper and future recruited staff who are either office or home based
  • Direct workflow by assigning tasks and targets and review the work of team members
  • Monitor and maintain professional work habits and staff performance to meet objectives
  • Evaluate individual staff performance via regular 1-2-1s, to support development
  • Book, chair and contribute to team meetings and type up the minutes
  • Authorise holiday requests and record staff holiday and sickness and absence

General:

  • Work on own initiative and without supervision, being able to prioritise and organise workload
  • Ensure good communication and help create goodwill and awareness for The Dream Factory
  • Work as a team member and maintain confidentiality in all areas of work
  • Organise the office and maintain storage of fundraising / event material / stationery
  • Welcome visitors to the office
  • Liaise and report to Trustees as required on objectives and outstanding issues

Administration:

  • Check and respond to emails / post and deal with telephone calls, taking and passing on messages as required, update office diary as required
  • Maintain and update administrative systems, databases and office networks
  • Provide additional administrative support, compose letters and reports as required
  • Maintain records for volunteers and contact details for staff and Trustees
  • To observe GDPR regulations in all tasks to ensure The Dream Factory comply as necessary

Finance:

  • Receive donations, ensure thank you letters are sent and maintain finance and fundraising information
  • Check and record all cash and cheques, organising banking as required

Much of The Dream Factory’s work is unpredictable and staff may on occasions be required to undertake tasks not specifically covered in their job specification or to assist team members

Skills & Experience:

Essential:

  • Experience of line managing a hybrid team, who work part time
  • Excellent oral and verbal communication skills
  • Excellent typing and IT skills with experience of Microsoft 365
  • Good organisational skills with the ability to multi-task and prioritise workloads
  • Experience of office administration
  • A working knowledge of office finance
  • A good standard of education
  • Experience of working in the voluntary or public sectors
  • Experience of working with people from a wide variety of backgrounds
  • Willingness to go over and above to provide / produce the necessary work to meet deadlines
  • Full UK driving license

Desirable:

  • Experience of working for a children’s charity
  • Experience of fund-raising / grant applications
  • Experience of marketing using social media
